A referral can be a powerful tool. If the referral comes from someone with strong ties, establishes immediate recall and more importantly, has influence he can sway the direction to your favor. To ascertain this, have an informal discussion with your contact and navigate the conversation to uncover details about the extent of his relationship with the company. Find out how his involvement with the company got started, challenges, the degree of closeness with the main decision-makers and the current state of the business relationship. Additionally, ask around. Talk to a third party with common ties. Remember that just as a good contact will help your application, a bad contact will hinder it.

Before you submit your application, it would help your cause to send an advanced copy of the letter to your contact. He should know what you wrote on the application because chances are the recruiter will give him a call.

In the first paragraph, state your understanding of the company, its reputation and why you want to apply for the job. Indicate the involvement of the contact with your application right away. If the contact is in good standing and the recruiter knows first-hand that your contact referred you for the job, this will strengthen your credibility.

People from Human Resources are wary of referrals because a name can be a powerful influence. Applying for two positions is a tricky proposition. In the first place, not many companies allow people to hold down two sets of responsibilities. When applying for a position in the academe, the basic structure remains the same but there will be subtle changes in tone and content. People who work in academic institutions generally want more detail. They are after all used to reading through volumes of manuscripts and documents. Academicians naturally ask questions as they are reviewing documents. The objective is to assess if the document provides the answers to these questions as he moves along.

Your first paragraph will be longer than the standard or basic cover letter. More detail is required specifically on why you decided to apply to their organization. By nature, academicians are inquisitive and curious. They would like to take a deep dive on the reasons or factors which initiated or influenced your decision to push through with the application.

Again, a referral or a recommendation would greatly benefit your application. Academicians are more conservative in their approach. Including a referral in good standing with the institution or with the recipient will push your application further ahead.

Unlike the basic cover letterbasic cover letter, when applying for a position in an academic institution, you have to dig deeper and present more details. This is not to imply that you should open up the content of your application but expound on the general elements of your strengths. You should still identify no more than three (3) key milestones in your career. The reason for this is so that the recipient will not lose the message. The academe will surely focus on your attainment, certifications and other evidence of higher learning. These institutions have a standard to uphold. In fact, these are among the first details the recipient will look for.

You should also inject more emotion and feeling in your content. For example, if you have opted to discuss your experience at a specific institution, include the feelings you went through. Aside from detailing “The Why” of your experience, share how you felt during that period in your career. Did you enjoy working with the students? What did you learn from them? What do you believe they learned from you? What did you hope to accomplish and did you achieve it?

For you concluding remarks always assume the recipient has read your cover letter and will proceed on an evaluation. Never read like you are over-confident, arrogant or appear to be more knowledgeable than everyone. Especially with the academe, you have to remain respectful.

The basic cover letter can be used for almost every purpose. It is straight forward in content and tone. It could be described as direct to the point without any need to embellish content with emotion or sense urgency.

In the first paragraph, you must immediately state why you decided to send an application to the organization. The objective is not to win over the company with praise but to make it known that you are familiar with their reputation in the industry. If you have a referral who you know carries a measure of influence or perhaps will potentially elicit recall or attention from the recipient, you should indicate his or her name right away.

If the response is warranted, it will heighten the recipient’s attention span or focus on your cover letter. It also creates an impression on the recipient of how serious or desirous you are of landing a position in their organization. Word of caution: just be sure your referral is a person of good standing with the company!

For the body of your cover letter, emphasize immediately your strengths. These should capture the attention of the recipient and make him or her take note of factors that make you a valuable asset to the company. Most Human Resource managers and even those from other departments take notes of key points. They would encircle key areas in your cover letter that made them take immediate notice. Some would even note down their immediate thoughts after coming across these sections.

Make a general summary of your experience without putting out too many details. Remember the purpose of the cover letter is to make the recipient want to evaluate or prioritize your application. Even if your experience is punctuated with different employers, a diverse scope of work, various trainings and seminars, always touch on the key points. Perhaps, focus on no more than three significant milestones in your career. These should be related to the job position you are applying for.

Keep in mind that you are competing with hundreds even thousands of applicants. You have to stand out from the rest of the pack. Evaluate your accomplishments carefully.

For the conclusion of the cover letter, never appear presumptuous. It gives the impression that you know better than the recipient. Write the conclusion with the mindset that you are respectful of whatever becomes the result of your application.
